The news usually arrives stapled to a parts inquiry: "this model has been discontinued." The pump that has carried your process for fifteen years is down or close to it and the manufacturer has retired the line, been acquired, or quietly dropped the product family. There is no catalog page left to order from and no direct replacement on the OEM's website.
We field this situation every week at DWP Industrial Sales. Tracking down discontinued and hard-to-find units is the core of our OEM equipment sourcing service, and the process below is the same one we walk through with our own customers. Discontinued does not mean unsolvable. It means you need a methodical path from obsolete nameplate to running replacement.
Step 1: Capture everything on the nameplate before it disappears
The nameplate is the single most valuable piece of data you have, and it tends to vanish exactly when you need it. Before the failed unit goes to the scrap pile or the rebuild shop, photograph the plate and record every field: manufacturer, model, size, serial number, impeller diameter or trim, rated flow and head, speed, and motor frame data on close-coupled units.
Serial numbers carry more weight than most people expect. Many manufacturers can still pull build records for discontinued models from a serial number, original impeller trim, materials of construction, seal configuration, even when the product page is long gone. If the plate is illegible, look for casting numbers on the volute and stamped part numbers on the bearing frame; those often identify the pump family when the plate cannot.
Capture the application data the nameplate does not show, too: actual operating point, fluid, temperature, suction conditions, and any system changes made since installation. A pump that was oversized on day one should not be replicated blindly twenty years later.
Step 2: Cross-reference before you re-engineer
Most industrial pumps are not unique designs. Standards-based pumps, ANSI B73.1 chemical process pumps are the clearest example, are dimensionally interchangeable across manufacturers by design. If your discontinued pump was built to a standard, a competing manufacturer's equivalent may bolt to the same baseplate and mate to the same piping with little or no modification.
Even outside formal standards, cross-reference paths exist. Product lines get acquired, rebranded, and continued under new names; the "discontinued" pump may still be in production under a different label. Distributors and sourcing specialists maintain cross-reference tables for exactly this reason, it is one of the first things we check when a customer sends us a quote request on an obsolete model. Ask the question before assuming the design is extinct: who else built this hydraulic, and what is it called now?
Step 3: Drop-in or adapt?
If a true drop-in exists, take the gift: same footprint, same flange positions, same performance curve. Verify the curve, not just the dimensions, two pumps with identical footprints can carry different impeller trims and behave differently at your operating point.
When there is no drop-in, the question becomes how much change your installation can absorb. Work the mechanical checklist in order: baseplate and bolt pattern, suction and discharge flange size and position, shaft height and coupling, motor frame, and seal support systems. A slightly different footprint is often solved with a new baseplate or a transition spool, routine work if you plan it, a crisis if you discover it at installation.
Then confirm the hydraulic fit. Plot the candidate's curve against your actual system curve, not the original design point. This matters most on centrifugal pumps, where a modest change in impeller trim can move the operating point significantly. If the process has drifted over the years, this is your chance to size the replacement for the process you actually run today.
Step 4: Choose the sourcing route - new, rebuilt, or in-stock used
With the technical fit understood, three routes are on the table, and each is legitimate in the right circumstances.
A new pump of current manufacture gives you a full warranty, current parts availability, and a fresh service life, the strongest choice for critical services and long planning horizons.
A professionally rebuilt unit is restored to specification with new wear components, bearings, and seals, and tested before it ships. It returns an exact-fit machine to service at lower cost than a new build, and for an obsolete model it may be the only way to keep the same footprint in place while you plan a longer-term migration.
An inspected, in-stock used unit is frequently the fastest path back to production when downtime is the dominant cost. Insist on inspection records or a test run, and treat an unverified unit as a bridge rather than a permanent answer. Put the problem on someone else's desk
A discontinued pump is a data-gathering problem before it is a purchasing problem but it does not have to be your data-gathering problem. Send us the nameplate photo and your operating conditions, and we run the cross-reference, check the standards fit, and come back with new, rebuilt, and in-stock options priced side by side. And when the old unit finally comes out, do not scrap it: we buy surplus industrial equipment, including obsolete models that still have parts value. Either way, the goal is the same, replace the pump on your schedule.
